Preparing for Management
When you are ready to move forward, having the following information available helps us get started efficiently. Specific requirements vary by property and situation.
- Property address and basic details (type, size, year built)
- Owner contact information and preferred communication method
- Current lease and tenant information, if applicable
- Keys and access information for the property
- Known maintenance issues or deferred repairs
- Relevant warranties, appliance manuals or HOA documents, where applicable
- Insurance and vendor information, where applicable
Sensitive documents and financial information should be shared only through an approved secure method. We will confirm the appropriate process during onboarding.
How We Work With Owners
Clear Onboarding
We walk through the management agreement, collect required property information and confirm the scope of services before management begins. There are no surprises about what is included.
Documented Communication
Material activity related to your property is communicated in writing. We maintain records of owner communications, maintenance requests and account activity.
Maintenance Coordination
We coordinate qualified vendors for maintenance needs based on the issue and your authorization. You are kept informed of significant maintenance activity. We make no promise regarding response schedule, vendor availability or repair outcome.
Ongoing Review
We stay in contact as conditions change — lease renewals, maintenance needs, market shifts — and keep you informed so you can make decisions about your property.
Owner Responsibilities
Rental property ownership comes with ongoing responsibilities. The signed management agreement defines the specific obligations of each party. As a general matter, owners are typically responsible for:
- Maintaining appropriate property insurance coverage
- Disclosing known property conditions that may affect tenants or management
- Providing accurate documentation, sufficient funds for authorized expenses and timely authorizations
- Consulting licensed legal, tax and insurance professionals for advice in those areas
This is general information only. The signed management agreement governs the specific rights and obligations of each party. Preferred Homes does not provide legal, tax or insurance advice.
